This Privacy Policy explains how Hayahay Massage Ltd. (operating as Hayahay Massage & Wellness, “we”, “us”) collects, uses, shares and protects personal information when you visit hayahaymassage.ca, call us, book an appointment or receive treatment at our clinic at Chinook Park Plaza, 5809 Macleod Trail SW, Calgary, Alberta. We handle personal information in line with Alberta’s Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.
Information we collect
- Contact and booking details: your name, phone number, email address, appointment history and preferences.
- Health information: details you share on intake and health history forms, and treatment notes recorded by your therapist, so we can provide safe and appropriate care.
- Insurance information: your insurer, plan and member details when you ask us to bill your insurance directly.
- Payment information: card details you provide to secure a booking or pay for services.
- Phone calls: the phone number you call from, the time and length of the call, and, where calls are recorded, the recording and a written transcript of the call.
- Website information: pages viewed, the website or ad that brought you to our site, device and browser type, approximate location and similar technical details collected through cookies and similar technologies.
- How you heard about us: we may ask new clients how they first heard about Hayahay.
How we use your information
- To book, confirm and manage your appointments, and contact you about them.
- To provide safe, appropriate massage therapy and keep the clinical records we are required to keep.
- To process payments and, with your consent, submit claims to your insurer.
- To answer your questions and improve our customer service, including staff training.
- To understand which ads, listings and pages lead people to contact us, so we can improve our advertising and website.
- To meet our legal, regulatory and insurance obligations.
Phone calls and call recording
We use a call tracking service. The phone numbers shown on our website and Google Business Profile may be tracking numbers that forward to our clinic, which lets us see which ads or pages led to a call. Calls to these numbers may be recorded and transcribed for quality assurance, training and record keeping. If you do not want your call recorded, please let us know at the start of the call or contact us by email instead.
Cookies, analytics and advertising
Our website uses cookies and similar technologies to measure how the site is used, to show the correct tracking phone number, and to measure the results of our online advertising, including Google Ads. These tools may collect information about your visit, such as the pages you view and how you arrived at our site. You can block or delete cookies in your browser settings; parts of the site may still work, but call tracking and ad measurement may not.
When we share your information
We do not sell your personal information. We share it only as needed with:
- Service providers who help us run the clinic, such as our booking and clinical records system, payment processors, call tracking, website hosting, and advertising and analytics providers. They may use your information only to provide services to us.
- Your insurer, when you ask us to bill them directly.
- Others when required or permitted by law, for example to comply with a legal order or protect someone’s health or safety.
Some of our service providers may store or process information outside Alberta or outside Canada, including in the United States. When that happens, your information may be subject to the laws of that jurisdiction.
Consent
By providing your information, booking with us or using our website, you consent to the collection, use and sharing described in this policy. You may withdraw your consent at any time, subject to legal or contractual limits, by contacting us. Withdrawing consent may affect our ability to provide some services, such as direct billing.
How we protect and keep your information
We use reasonable administrative, technical and physical safeguards to protect personal information, and we limit access to people who need it. We keep personal information only as long as needed for the purposes above or as required by law and professional obligations, then securely destroy or anonymize it.
Your rights
You may ask to see the personal information we hold about you, ask how it has been used or shared, and ask us to correct anything that is inaccurate. We will respond within the time required by law. We may need to confirm your identity before responding.
